Privacy Notice
1. Who we are
This notice is published by SDSI Business Systems, Inc., a corporation organized under the law of the State of California, United States. SDSI Business Systems, Inc. is the controller of the personal data described here. Rapid Estimator is a product of SDSI Business Systems, Inc.
- Registered office: 25060 Hancock Ave #419, Murrieta, CA 92562, United States

- Telephone: (800) 872-7160
- Governing law of this notice: the law of the State of California
Operations, storage and support for Rapid Estimator are in the United States. We have not appointed a Data Protection Officer and we are not required to appoint one. Privacy questions are answered at the address above.
2. Information we collect
The categories of personal data we collect are set out below. We apply a data classification to each category and we hold the smallest amount that answers the purpose it was collected for.
From visitors to this website. Our host writes a server log for each request: the internet protocol address, the time, the address requested, the browser user-agent string and the referring page. We use it to keep the service available and to investigate abuse.
From anyone who contacts us. The contact form collects full name, job title, company, phone, work email and the message you write. Phone is optional on that form. Those fields are sent to us so we can answer you and schedule a demo or support. If you also check the SMS box, or you complete the form on the SMS program page, we collect your mobile number and your consent to receive Rapid Estimator texts.
From customers and licensees. We keep the company name, contact name, work email, telephone, postal address if you give us one, serial number, subscription dates and payment records needed to issue and renew a license.
From the desktop program. Rapid Estimator is Windows software that runs on your computer. Estimate files, cost books and job data stay on your PC. They are not uploaded as part of ordinary use. To verify that the subscription is current, the program sends the serial / license identifier to SDSI’s license server in the United States. That check does not send estimate files, job addresses or the names of your customers.
From remote support. If you start a LogMeIn Rescue session, a support technician can see what you show on your screen for the length of that session. We do not copy estimate files off your PC unless you ask us to keep a copy to finish a repair.
From optional QuickBooks Online. If you connect Rapid Estimator to QuickBooks Online, Intuit receives the tokens and accounting data that connection requires. We do not receive your QuickBooks password.
3. What we do not collect
We do not collect sensitive personal information. We do not collect government identifiers, racial or ethnic origin, religious or philosophical beliefs, union membership, health or genetic data, sex-life or sexual-orientation data, precise geolocation, or the contents of mail, email or text messages other than messages you send to us. We do not knowingly collect anything about a child. We do not collect payment card numbers on this website; card data is taken by Authorize.Net on its own checkout pages.
4. Why we collect it
| Category | Purpose |
|---|---|
| Server logs | Keeping this website available and investigating abuse |
| Contact-form submissions | Answering you and scheduling a demo or support |
| Customer and license records | Issuing, verifying and renewing a Rapid Estimator subscription |
| Support correspondence | Resolving the problem you asked us to fix |
| SMS consent and mobile number | Sending the customer-care texts you opted in to receive, and honouring STOP and HELP |
| Payment records | Taking payment and meeting tax and accounting duties in the United States |
We do not process personal data for any purpose other than the ones stated here. If that ever changes we will say so in a new version of this notice before it takes effect.
5. Sale and sharing of personal information
We do not sell personal information, and we have not sold personal information in the preceding twelve months.
We do not share personal information for cross-context behavioural advertising, and we have not done so in the preceding twelve months.
We disclose personal data to the recipients named on our Sub-Processors page, and to nobody else, except where a law in the United States compels a disclosure.
Mobile information will not be shared with third parties/affiliates for marketing/promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
6. Opt-out route published
You may opt out of any sale or sharing of personal information, and of marketing email, by writing to rapidestimator@sdsinow.com or by calling (800) 872-7160. We honour the Global Privacy Control. Where your browser sends a GPC signal we treat it as an opt-out request, and nothing further is required from you. We act on an opt-out on receipt, not at the end of a cycle.
If you receive Rapid Estimator text messages, you may opt out of SMS by replying STOP, QUIT, END, REVOKE, OPT OUT, CANCEL, or UNSUBSCRIBE. You will receive a confirmation and no further texts from that program unless you opt in again. Messaging details are on the SMS Privacy Policy and SMS Terms.
7. Automated decision-making
We carry out no automated decision-making that produces a legal effect concerning you or similarly significantly affects you, and we carry out no profiling of individuals. Rapid Estimator calculates construction estimates from the data you enter; it does not make a decision about a person.
8. Artificial intelligence and training on customer data
There is no integrated AI in Rapid Estimator at this time. The product does not send data to a model provider. We do not use customer data to train models. We do not permit any provider to train on what you send us. Nothing you type into Rapid Estimator, and nothing you submit on this website, is used as training data.
9. Where your data is stored
Personal data we hold is stored and processed in the United States. This marketing website is hosted by Cloudflare in the United States. License and subscription records are stored on SDSI’s license server in the United States. Backups of that database are stored in the United States alongside the system they protect.
10. How long we keep it — retention
Our retention period for each record is stated below. A record that has reached the end of its period is deleted. Deletion reaches backups, caches and archives on their own cycles, which complete within a further 90 days.
| Record | Retention period |
|---|---|
| Customer and license records | 50 years |
| Payment records | 7 years |
| Contact-form submissions | 24 months from last correspondence |
| Support correspondence | 24 months from last use |
| SMS consent, opt-out and message logs | For as long as you are a customer, and 24 months after opt-out or last message |
| Server and CDN logs | 90 days |
| Remote-support session metadata | 90 days |
11. How we protect it
Personal data is encrypted in transit. Access to the license host and to mailboxes is limited to SDSI staff who need it. Our Security Overview sets out the controls in more detail.
Data breach notification: where a breach is likely to result in a risk to you, we will notify you without undue delay, and we will notify any regulator the law of the United States requires us to notify.
Access to Mobile Data. Access to mobile data is limited to authorized personnel who need it to perform approved business, operational, or support functions. Access rights are assigned based on role and are restricted to the minimum information necessary.
Permitted Use of Mobile Data. Mobile data may be used only for legitimate internal purposes related to providing, maintaining, securing, and supporting this website, Rapid Estimator, and the SMS program. Unauthorized access, sharing, disclosure, or use of mobile data is prohibited.
Restrictions on Sharing. Your mobile opt-in data and consent will not be transferred to external organizations for marketing or promotional purposes. Internal access is controlled and limited to authorized users acting within their assigned responsibilities.
Safeguards and Protections. Administrative safeguards include access authorization procedures, role-based responsibilities, internal policies, and workforce oversight. Technical safeguards include system access controls, authentication measures, monitoring, and other security controls designed to prevent unauthorized access, use, or disclosure. Physical safeguards include measures to protect devices, systems, and facilities where mobile data may be accessed or stored.
Protection Against Unauthorized Access. We maintain safeguards and restrictions designed to prevent unauthorized access to, use of, or disclosure of mobile data and to ensure that access remains limited, appropriate, and secure.
12. Direct marketing
We send direct marketing by email only to a person who has given us their address, or who is a customer. Every marketing communication carries a working unsubscribe route. You can stop marketing by replying, by writing to rapidestimator@sdsinow.com, or by using the opt-out route in section 6. We act on it on receipt.
13. Your rights
Where United States state privacy law applies to you, you have the right to know what personal information we hold, the right to delete it, the right to correct it, and the right to opt out of sale or sharing. We answer a request within 45 days. We charge nothing for it. We ask only for enough information to be satisfied that the request comes from you.
To exercise any of these rights, write to rapidestimator@sdsinow.com or call (800) 872-7160. That is the named legal route for a privacy request. If you are dissatisfied with our answer you may appeal by writing to the same address and marking the message an appeal, and you may lodge a complaint with your state attorney general.
14. When we process data on behalf of a client
In remote support and in custom-software work we sometimes process personal data on behalf of a client. In that case the client is the controller and we are the processor. We process that data on the terms of our Data Processing Terms.
15. Text messaging
Rapid Estimator customer-care SMS is described on the SMS program page. The SMS Privacy Policy is the messaging-specific notice. You opt in on that page, on the contact form, verbally on a call, or by texting START to (951) 461-8490. Consent is not a condition of purchase.
16. Changes to this notice
This is version 1.2, published on 24 August 2026. Version 1.1 was published the same day. Version 1.0 was published on 18 August 2026. Version 1.2 states the same privacy rights without naming a specific statute. Version 1.1 adds the SMS program, the mobile-opt-in non-sharing statement, STOP keywords, SMS retention, and mobile-data access, use, sharing, and safeguard language. When we change it we publish the new version at this address and move the version number and the date. Where a change is material we say what changed.
